Receiving Officer  

 

POSITION DESCRIPTION:

North Mara Gold Mine Limited is seeking to recruit a Receiving Officer to join Supply Chain team. The successful candidate will be responsible for the daily operations of receiving goods at the mine in accordance with the procedures. Ensure that any non-conforming items (Quality and quantity) are immediately isolated and reported for corrective action to be taken. The position will report to the Warehouse Superintendent

RESPONSIBILITIES:

 

  • Receiving activities of the receiving section;
  • Check and / or ensure that documentation accompanying the items are complete
  • Ensures that all items in a consignment are unloaded as per KPI
  • Ensures that the records of deliveries are updated;
  • Participates in and / or ensures that the physical receipt of orders is done correctly according to the procedures in force
  • Participates in and / or ensure that all physical receipts of orders are actually entered into the computer system according to established procedures;
  • Ensures that all stock items received are then transferred on the shelves and racks in the as directed by the put away transfer
  • Ensures that all variances in quantity and non-conforming items are reported and that corrective action is taken
  • Ensures that all Non-Stock items received are quality checked by the Technical and Capital Officer
  • Ensures that non stock items are issued to the end user within the KPI
  • Ensures that all empty containers back on the same trucks that bring them as far as possible
  • Ensure that all non-conforming items are segregated as required Management of storage
  • Ensures that inventory items are properly stored in accordance with the procedures
  • Anticipates problems of storage space to and remedies on time
  • Organizes and operates the storage space in the most optimal manner
  • Monitoring of storage conditions of items and ensures that they are stored in the best possible conditions;
  • Actively participates in the cycle and year-end stock counts
  • Ensures that the consignment stocks are managed and stored in the required conditions
  • Filing and archiving of documents in accordance with requirements generated by the store operations in line with requirements
  • Ensures that the standards in terms of safety and environment are adhered to in the workplace and during operations covered by the store.
  • Participates in the development of procedures for daily activities (reception, release, storage space)

Technician certificate in management or technical field

Warehouse Superintendent 

 

POSITION DESCRIPTION:

North Mara Gold Mine Limited is seeking to recruit a Warehouse Superintendent to join Supply Chain team. The successful candidate will ensure that all materials required by the Under Ground Operations, Capital, Process Plant, Engineering department and all other departments are received, stored and issued in accordance with policies and procedures while respecting safety and the environment. The position will report to the Supply and Commercial Manager.

RESPONSIBILITIES:

 

  • Ensures that the procedures for receipts and issues, and other transactions at the store are clearly defined and met for all storage locations at the mine;
  • Implements systems to confirm that all these transactions, without exception, are properly recorded; Assures that period end, week, month or year, all transactions relating to that period are fully and correctly entered into the computer system;
  • Ensures that the necessary measures are taken for the security of goods stored there;
  • Ensures that shipments that do not comply with orders in terms of quantity and quality are properly managed in accordance with procedures.
  • Ensures that all inventory maintenance task are executed by the warehouse operatives and that engineering are involved as and when required
  • Actively participate in the organization and implementation of the inventory count for cycle counts and at year-end in accordance with the procedures;
  • Checks and ensures that all data regarding receipts and issues in the system is accurate and complete;
  • Ensures that all non-conforming stock is segregated and managed effectively; that weekly and monthly transfers are completed within the agreed time;that the consignment stocks are managed in accordance with established procedures; that fuel stock is managed;
  • Ensures that the standards in terms of safety and environment are adhered to in the workplace and during operations covered by the store;
  • Filing and archiving: Ensures that all documents are organized in an effective manner;
  • Ensures that the standards for environment, hygiene and safety at the mine are adhered to
  • Ensures implementation of all relevant policies and procedures relating to warehouse receipt, storage and issue and management of all storage locations
  • Responsible for KPI reporting, and feedback to end users regarding receipt, storage and issue of stock

 

QUALIFICATION REQUIREMENTS:

Bachelor’s degree in management with a professional experience of at least four years in the accounting and physical inventory management or equivalent experience

EXPERIENCE REQUIREMENTS:

4 years + experience in the accounting and physical inventory management or equivalent experience

SKILLS / KNOWLEDGE REQUIREMENTS:

 

  • Experience in inventory accounting, the analysis and understanding of indicators inventory management, preferably experience of at least one of them years gained in an audit firm

Senior Buyer and Commercial Officer  

 

POSITION DESCRIPTION:             

North Mara Gold Mine Limited is seeking to recruit a Senior Buyer and Commercial Officer to join Supply Chain team. The successful candidate will manage the procurement of all services and non-stock items ensuring that they comply with necessary operational requirements and technical specifications. Manage all intended and existing contracts entered into by the mine, ensuring that competitive and fair tender or bid processes are followed in accordance with the policies and procedures of both the mine and the Mining Local Content Regulations, and ensuring that the contracting terms are recorded and adhered to. The position will report to the Warehouse Superintendent.

RESPONSIBILITIES:

 

  • Clarify service or goods supply requirements with HODs to ensure that Requests for Quotations clearly define the requirements to potential service provider or suppliers
  • Compliance with the requirements of the Mining Local Content Regulations, and engagement with the Mining Commission in line with agreed reporting and engagement
  • Administers the quotations received from the potential service providers and suppliers
  • Assist with the adjudication of the quote, or driving tender adjudication committees
  • Participate in commercial reviews and perform commercial analysis
  • Once the quote is approved, raises the Service orders on the ERP system
  • Raises all service orders and non-stock orders
  • Ensures that a contract is put in place and that the terms of the contract are clearly defined Maintains a register will all approved contracts
  • Ensures that the original contract is with Finance and filed.
  • Ensures that a copy of all contracts is kept on file; and file and archive necessary records
  • Identifies all contracts that are due to expire and ensures that all open service orders are aligned with the service contract.

POSITION DESCRIPTION:

North Mara Gold Mine Limited is seeking to recruit an Inventory Controller to join North Mara team. The successful candidates for this position will ensure that all inventory is effectively managed through item creation, inventory accuracy and change control in accordance with Policies and procedures and respecting standards for safety and environment. The position will report to the Warehouse Superintendent.

RESPONSIBILITIES:

 

  • Plan and execute cycle counting and stock counting program in line with corporate requirements.
  • Ensures that all stock counts are planned and that all activities required prior to and after the stock count are completed
  • Ensures that all stock variances are investigated, and that corrective action is implemented to address the root cause of the variance
  • Ensures all stock data is updated so that the physical stock and system stock are accurately represented
  • Implements audit systems to verify that all transactions relating to any adjustments made are entered without exception
  • Prepares and allocates various reports related to inventory management; Trains all warehouse operatives in good warehousing practice to ensure that stock items are placed and transferred correctly and that the necessary transactions are completed in SAP.
  • Reviews and provides the information for reconciliation of stock values between finance and the store
  • Manages the master data creation process and receives all item master input data and reviews for alignment to business rules, and ensures that no duplicate items or master data is created by understanding data base and interacting with the users
  • Ensures that all suppliers identified are approved on the Approved supplier list prior to submitting the request to the Group Master Data Specialist
  • Reviews and Maintains changes requested to master data on the system
  • Trouble shoot issues experienced by the users related to the master data or the SAP System
  • Ensure all standard inventory reports have been run at the defined frequency, and that they have been issued
  • Train users on the business rules for master data creation and accessing of data and reports
  • Ensures that the standards in terms of safety and environment are adhered to in the workplace and during operations covered by the inventory controlling team.
  • Organizes and implements a filing system for all documents generated by its activities in accordance with procedures.
  • Perform any other tasks related to the overall objective of the position or department.
  • Applies proper policies and procedures in the field of inventory management

Tertiary qualification in Logistics and Supply Chain; or related fields

Technical and Capital Officer 

 

POSITION DESCRIPTION:

North Mara Gold Mine Limited is seeking to recruit a Technical and Capital Officer to join Supply Chain team. The successful candidate will ensure that all mine purchases meet the necessary technical specifications and quality. Identify and recommend source of supply for stock, non-stock and capital items Advise supply chain team related to all technical requirements. The position will report to the Warehouse Superintendent.

RESPONSIBILITIES:

 

  • Develop and manage demand planning for UG material and equipment requirement, in collaboration with the SC team by project
  • Educate end user on Supply Chain basics and Process to ensure creation, PR, reservations are done correctly and timely
  • Develop a plan for slow moving items and report to management on weekly basis
  • Evaluate all non-stock engineering/mining items, RFQs and POs to ensure that there is no similar item and to establish if it should be a stock item
  • Evaluate RFQs raised by end users for once off items, identify source and ensure items are issued to user immediately after receipt
  • Document all necessary information (refer to item creation Procedure) that will clearly define the specification for the buying house with the recommended supplier
  • Ensure the appropriate evaluation of a new supplier has taken place prior placing the RFQ with the Supply Partner
  • Expedite all non-stock technical items and ensure appropriate quality control
  • Undertake review role for all changes proposed to existing stock items or new items by end users to ensure that there is a cost benefit and that there is a phase out plan
  • On receipt of once off engineering/capital items ensure that the item complies with specification and release for to the end user as they are received
  • Investigate all non-conformances   relating to Engineering and mining items (whether stock or once off), and ensure corrective action is taken
  • Maintain all information related to the non-stock items on Pronto/SAP
  • Advise on proper long-term maintenance procedures for technical stock items
  • Audit items in laydown yards and ensure all are correctly stored against weather

 

QUALIFICATION REQUIREMENTS:                                                       

 

  • Bachelor’s Degree in Procurement and Supply Chain Management or equivalent
  • MBA will be an added advantage.
  • Supply Chain Board Registration added advantage

 

EXPERIENCE REQUIREMENTS:

Qualified artisan with at least 10 years’ experience in a mining or related environment.

POSITION DESCRIPTION:

North Mara Gold Mine Limited is seeking to recruit an Expeditor to join Supply Chain team. The successful candidate will ensure that orders are tracked, prioritized, and expedited throughout the Supply Chain from the point of order until receipt, ensuring that competitive and fair tender or bid processes are followed in accordance with the policies and procedures of both the mine and the Mining Local Content Regulations. The position will report to the Warehouse Superintendent.

RESPONSIBILITIES:

 

  • Responsible for all procurement expediting activities, and communications with Supply Partners buying house including shipping lines and transporters.
  • Responsible for managing the update report emergency orders;
  • Responsible for controlling the updating shipment tracking tables
  • Responsible for managing the update reports “tracking” with suppliers and carriers.
  • Reviews and analyses all pending orders in line with their delivery due date, and manages the planned delivery time (from PO to consolidation point) and GR processing time( from consolidation point to receipt at the mine)
  • Ensures that Supply Partners and forwarders ship orders on time;
  • Ensure that suppliers and forwarders meet their commitment in terms of providing management reports, daily, weekly or monthly as required on their part;
  • Ensures that all reporting and information relating to the status of a particular item on an order is up to date and available;
  • Collects information relating to the status of urgent orders and advised the end user
  • Prepares requests for shipping by airfreight for approval in accordance with procedures.
  • Manages all Discrepancy items received from time of identification of the discrepancy to final resolution
  • Filing and archiving: Ensures that all documents are organized in an effective manner
  • Ensures that standards for environment, hygiene and safety at the mine are adhered to.
  • The incumbent may be asked to perform any other tasks that are not explicitly listed above but which are related to the overall objective of the post or department

The successful candidate will manage the mines fuel and lubricant teams, fuel management system, bowser fleet, fuel and lubricant pumps and stations, and oversee the management of fuel purchases, receipts, and issues. RESPONSIBILITIES:
