Under the supervision of the Head of Business Administration, the accountant will be responsible to:

work closely with all staff, suppliers, partners, and vendors with a focus on managing financial resources.
support the team in recurrent financial activities in accordance with internal operational manuals and different guiding policies.

More specifically the accountant will implement the following tasks, in close collaboration with the Business Administration team:

Financial Management

  • Facilitate preparation of the yearly budget of operation and monthly cash advance requests
  • Facilitate payments and review accountability for meetings and workshops, submit and reconcile expense reports.
  • Provide financial support to other staff including reviewing travel budget, expense reports, and maintenance of electronic and paper files.
  • Check and ensure that all payment vouchers meet the minimum audit requirement
  • Conduct preparation of payment vouchers, and cheques and ensure timely settlement of all undisputed invoices.
  • Support preparation of staff payroll, and payments to outsider stakeholders who are
    rendering services to Swisscontact and government organizations.
  • Monitor and reconcile balance accounts on a monthly basis and make sure any outstanding balance has a clear justification
  • On a monthly basis provides program financial analysis and recommendations
  • Work with the project staff to ensure programme activities are aligned with the approved budget.
  • Guide and ensure compliance with relevant regulations such as from Non-Governmental Organisations (NGO) board, country-specific and any other financial obligations such as tax returns and annual Financial Statements
  • Provide training and support as needed to different stakeholders in areas related to finance and accounting.
  • Maintain and archive all contracts including annexes for all assigned grants, both electronic and hard copy
  • Support the Head of Business Administration with organizing audits on a half-yearly and yearly basis according to Head Office instructions.

Qualifications

The National Examinations Council of Tanzania (NECTA) is a government organization founded in 1973 by Parliamentary Act No. 21. Tanzania’s National Examinations Council (NECTA) is in charge of administering all national exams.

Tanzania Mainland withdrew from the East African Exams Council (EAEC) in April 1971 to run her own examinations, prompting the formation of NECTA. In 1970, Zanzibar withdrew from EAEC. Tanzania sat for overseas Secondary School Examinations jointly administered by the East African Syndicate between 1968 and 1971, which were previously administered solely by the Cambridge Local Examinations Syndicate. The School Certificate and Higher School Certificate Examinations were the exams administered by the Cambridge Local Examinations Syndicate at the time. African students took the School Certificate Exams for the first time in 1947, and the Higher School Certificate Examinations for the first time in 1960.

The position is responsible for handling all customer relations and queries regarding their shipments on CMA CGM vessels the agency. Customer service role is to serve the customer in all queries and keep them well informed on all customer care related matters. This includes sending timely customer advisories, handling exception requests, managing delays at PTS, booking cancellations, dispute coordination, follow up on and closure, customer education on e-commerce transactions and making periodic customer on-site visits. Core responsibility is to ensure manage customer relations with regards to customer care related issues, enhance customer satisfaction and information flow.

Main tasks and Responsibility

Customer Service Tasks

  •  Managing email/phone response on customer service email queues to ensure timely response to internal and external customers as per company SOPs.
  • Attending face to face/ virtual meetings with customers and commercial account owners to address any issues raised and to educate customers on CMA CGM e-commerce /VAS products
  • Sending out timely and professional customer advisories while maintaining a clean data base of all customer contacts (emails, telephone numbers, profiles, contact persons and office locations)
  • New partner code creation and updating general contacts in LARA in line with SOPs.
  • Manage Vesse/Voyage changes and customer communications; have a list of impacted containers, follow up for update of JLs, send advisory about the change, send a confirmation all updates complete to customer care manager and other relevant stakeholders.
  • Transhipment /DIT requests follow up; extract reports on cargo delayed at transhipments, request status, push for loading within sold transit times, identify sensitive shipments to flag them as hot box, follow up on customers priority requests at PTS, advice/educate customers and update charges applicable.
  • Manage Cancellation process for bookings; Ensure booking cancellation fees/detention are notified to the customer and invoiced, request container to be unassigned for cancelled bookings post invoicing.
  • Coordinate with Centralized Cargo readiness and booking desks in case of short shipments/ local cargo shut outs in order to send advisories to the affected customers immediately post vessel sail reconciliation is completed.
  • End to end follow up on Re-export of import container requests; OBLs surrender, authorization letters, customs approval, equipment approval, update of REX tracking move, re-export booking creation, adding container and moves, D&D invoicing and local charges collection, handling customs and equipment rejections and timely daily updates to the consignee/shipper/booking party.
  • Follow up with consignees on collect charges acceptance at POD KEMBA and timely notifying POLs on outcomes.
  • Follow up on other department queries to Customer care to ensure end to end resolution.
  • Proactive customer service process improvement and adoption of new process/tools roll outs to enhance efficiency and productivity.
  • Strict adherence and compliance with SOPs, CMA CGM Group processes & policies and local authority requirements and deadlines.

Dispute Coordinator for the agency

  • Define and categorize disputes and complaints
  • End to end follow up on disputes: receive disputes, investigate, coordinate with all stakeholders for fast resolution.
  • Timely credit note issuance for resolved disputes.
  • Perform and report root cause analysis on disputes: identify root causes and record them, check for repetitive trends and report to management.
  • Take the lead to organize weekly dispute management meeting with all stakeholders to keep track on resolution.
  • Timely escalation of complex complaints keep log/input complaints and advice customers on progress and resolution.

Follow up on Customer Satisfaction survey feedback

  • Prompt and daily Customer call backs for Nova touch point surveys and annual call backs for global surveys.
  • Reporting on complex cases and following up to ensure the customer’s complaints/needs are addressed and feedback is given.
  • Miscellaneous related duties, tasks and projects as may be assigned

Skills and Qualification:

ACCOUNTABILITIES:

Compliance Training
Management of online training with IT and HR through Learning Management System (“LMS”) for all Compliance related training, ensure training is allocated to joiners, current employees and relevant contractors as required.
Management of technical queries related to online training with IT.
Ensure that the assigned training modules/programmes for the country/site are completed within the required time frame. Assist and guide employees where necessary and escalate to Group Compliance as needed.
Reporting of the completion of all courses at site/country level.
Follow up with learning defaulters through to completion and/or escalate issues where relevant.
Conduct employee/contractor induction and other “face to face” training on Compliance and Ethics and other regulatory compliance training as required.
Assist with update and renewal of training material to ensure relevance.

Declarations
Management of site/country declarations in relation to conflicts of interest, gifts, hospitality and sponsorships.
Monitor and assess “integrity” of management actions when approving or disallowing. Issue reports based on site and nature and management actions (approval, rejection etc.).
Management of online registers for political activities and communication on them as necessary.
Maintain calendar for local/national elections.

Communications
Manage and maintain an effective compliance communication program for the country, including communicating key compliance messaging to the country/site, including to promoted heightened awareness of the Code of Business Principles and Ethics, policies and procedures, and bribery/corruption, ethics, conflicts of interest, gifts, etc.)
Work with management to ensure that senior managers are also reinforcing these communications.
Reporting
Compilation of reporting internally including for local Audit and Risk, AGA Social, Ethics and Sustainability, Serious Concerns committee and externally (including 20-F, IAR, Sustainability Report etc.) as applicable, in the compilation and aggregation of Compliance Data in relation to Conflicts of Interest Declarations, Gifts, Responsible Sourcing, legal registers, training, confidential reporting, investigations etc.

Combined Assurance Audits
Participate and provide input into Combined Assurance Audits.

Policies and procedures
Assist in the review/ development and implementation of country/site policies and procedures.

Group-wide Compliance alignment
Alignment and implementation of the necessary systems and processes at country and site to meet Group-wide compliance, ethics, anti-corruption and anti-bribery program objectives. Collaborate with other departments, including internal audit, security, procurement, legal, human resources, etc.

Regulatory Compliance
Conduct certification of country legal registers (including in relation to Tailing Storage Facilities) to ensure that AGA complies with applicable laws.
Assist with ensuring in-country compliance to the broad spectrum of regulatory and legislative requirements.
Agents and Intermediaries
Maintain registry of Agents and intermediaries in line with Procedure on Engagements of Agents and Government Intermediaries and ensure compliance with the requirements of the procedure.

Third Party due diligence
Co-ordinate, manage and monitor third party due diligence, including (i) suppliers/vendors (ii) agents/ intermediaries, and (iii) potential Directors; (iv) JV partners (v) project partners (vi) CSI projects (vii) other ad hoc requests.

Responsible Sourcing
Assess Supplier Assessment Questionnaires and perform compliance-related due diligence on vendors.
Understand and classify vendors according to their risk profile, manage and mitigate the risk posed by the vendor by implementing sufficient controls.
Books and Records: Government Officials
Ensure that all payments to government officials are completely and accurately reported in AGA books and records.
Assist in compiling, auditing, and reviewing the relevant registers and documentation supporting these payments.
Reporting and Investigation of compliance incidents or violations
Identify and report compliance violations (and potential violations, including potential violations of the Code of Business Principles and Ethics).
Conduct and assist with Compliance related investigations where required.
Advice on Compliance and Ethics matters
Provide guidance and advice to staff on all compliance and ethics related matters.

Background
Enabel is operating in Tanzania as a public limited company under public law with a social purpose in accordance with article 7 (iii) of the General Agreement between The United Republic of Tanzania and The Kingdom of Belgium on Development Co-operation signed on 16th of October 2002, and the introduction Letter from the Embassy of Kingdom of Belgium N° 2018/023 signed on 25th January 2018 on the transformation from BTC into Enabel.
The project on beekeeping, funded by the European Union, has a duration of 4 years with an inception phase of 6 months.

The project is taking place under the 11th EDF National Indicative Programme for Tanzania (2014-2020) in which Sustainable Agriculture is a focal sector with the specific objective to ”enhance management of natural resources, including forests, and ecosystem services for sustainable agriculture development and climate change adaptation”. The European Union Action Document for Beekeeping Value Chain Support contributes to that objective and also to the Planet and Prosperity pillars.

Job description
Your tasks and responsibilities as Office Assistant:

  • You clean office building and its surroundings i.e. (dusting, sweeping, vacuuming, mopping scrubbing, cleaning ceiling vents, restrooms, kitchen etc.)
  • You ensuring wash areas and toilet areas are regularly replenished and kept clean
  • You monitor cleaning materials and maintain a kitchen inventory.
  • You inform Administrative Assistant for the occurrence for defectiveness of office items and needs for repairs.
  • You ensure all minor maintenance tasks are completed within the buildings e.g, door handles.
  • You ensure all furniture and fittings arrangements provides maximum safety and comfort.

Required qualifications and experience
