2. Qualifications:

  • Diploma/ Degree in Clearing and Forwarding or any related.

  • Must have knowledge of government procedures & customs laws relating to imports, exports, and transit goods for air, sea, and road freight cargo.

3. Overall Purpose

  • To work as part of a team in the clearing & forwarding department and function as a Declaration Officer.

4. Accountabilities & Responsibility Areas

  • Tracking shipments, updating our database on arrival information, and ensuring correct shipping documentation is in place in advance.
  • Undertake all declaration procedures for imports and exports
  • Application of IDFs (Import Declaration Form)
  • Advice the management on the correct and most preferred course of action to overcome technicalities that may arise in declaration or clearing operations
  • Bonds management and cancellation procedures
  • Follow up correspondence between various statutory bodies and other parties
  • Obtain customs release for exports and truck border consignment
  • Ensure correct use of Tanzania Revenue Authority Tariffs
  • Ensure that correct values are used during declaration and other related procedures to avoid losses that may accrue as a result of penalties.
  • Establish and maintain a working relationship with the customs office
  • Perform any other relevant duties that may be assigned by the supervisor within the scope of the position.

POSITION: HEAD OF PROCUREMENT AND SUPPLIES (1 Position)
QUALIFICATIONS AND WORK EXPERIENCE
Holder of Bachelor’s Degree in Materials Management or Procurement and Supplies Management, or Supply Chain Management from a recognized Higher Learning
Institution. The candidate must be registered by the Procurement and Supplies Professional and Technician Board (PSPTB); a holder of CPSP with at least 5 years’ work experience in a similar/related position. Demonstrates strong leadership and managerial competencies, including integrity, accountability, communication skills, computer skills, commitment to teamwork and excellence in selecting, mentoring, coaching, supervising, motivating and training procurement staff.


KEY DUTIES AND RESPONSIBILITIES
i. Heads the Procurement and Supplies Unit, coordinates day-to-day procurement operations;
ii. Provides high-level technical and administrative guidance on matters related to Procurement and Supplies.
iii. Manage and review documents for procurement of all supplies, equipment and services for the company and ensures compliance to Procurement policies procedures, and applicable regulations;
iv. Identify opportunities for cost savings; Provides procurement research, guidance and direction by presenting available procurement options
v. Develop and implement purchase and contract management instructions, policies, and procedures;
vi. Prepares and implements CLICL’s Annual Procurement Plan.
vii. Serves as Secretary to KLICL’s Tender Board, implements Tender Board’s decisions
viii. Prepares Tender Board minutes and maintains all procurement records, disposal and related activities;
ix. Prepares tender documents for Bidders, and advertisements as per procedure
x. Custodian of procurement documents; responsible for ensuring that records are maintained and the entire procurement process is documented from the beginning to the end.
xi. Inspects the quality of procured items; ensures that suppliers deliver materials and services based on the agreed standards of price, time, quantity and quality;
xii. Ensures that all invoices are audited for compliance with contract terms and supervises contract closeouts;
xiii. Prepares the Unit’s Monthly and Quarterly reports, presents to Management and the Board of Directors;
xiv. Performs any other related duties as may be assigned by the supervisor

Job Purpose:

Marie Stopes Tanzania Centers are self-sustainable facilities that require to operate in business model to generate their own funds for management and provision of quality services to our most valued clients.

The Center Manager reporting to Clinics Lead is responsible for management of the center and its performance as per agreed KPIs.  S/he also supports the day-to-day center operations at the center level. This includes activities that strengthen, promote, and observe Clinical Quality Standards maintained in General health and family planning services deliveries at the center. To sustain the center, the center manager is responsible to coordinate, monitor, and facilitate the activities at the center, and reports the key achieved results.




Among the Key Responsibilities:

  • Organize & lead activities through use of current set demand generation activities and work closely with the Marketing Team to have effective marketing strategies and tangible results,
  • Develop consistently the centre in line with the values of MSI Partnership and the goals of maximizing access for clients to affordable and high-quality family planning services,
  • Manage daily the electronic patient information system, maintaining high data quality and submit reports in a timely manner,
  • Manage stock effectively including routine reconciliation to maintain adequate but not excessive stocks and submit timely stock reports and orders,
  • Work closely with Customer Care Advisor to ensure low rejection rate among corporate clients and high standards of customer care & relations,
  • Provide pertinent technical advice to improve access of clients to affordable & high quality family planning, reproductive and general health services,
  • Motivate and continuously set performance targets for center staff and appraise their job performance in accordance to clinical guidelines & other HR policies,
  • Identify training needs and share with the Clinics Lead & Training Coordinator,
  • Undertake any other assignments as may be assigned by Management/ Employer from time to time.

Minimum Requirements:

  • Degree in Medicine with a complete one year of internship.
  • Trained and competent in USS and other medical services.
  • Registered with Medical Council of Tanganyika.
  • 3- year experience in the health industry with reputable Organization(s).
  • 2- year experience in a managerial/ leadership position especially in managing health facility.
  • Proven skills in service diversification, marketing, health financing and commercial mindset.
  • Proven experience and skills in continuum of care, keeping clients satisfied at every step of services provision process.
  • Strong written, presentation & verbal communication skills both in English & Kiswahili.

Roles and Responsibilities

The Driver cum Administrative Assistant is responsible for driving Trust vehicles, carry out other related transport operations as well as attending administrative issues as directed by the Administrative Secretary.

  • Maintain accurate, up-to-date records on trip sheets, transportation forms, vehicle maintenance, incident reports, accident reports, vehicle condition reports and other records that are requested by management.
  • Maintain up to date routes record logbook for keeping of vehicle fuel utilization history
  • Drive Trust vehicles with required professionalism for maximum road safety which are in line with Trust’s and national guidelines
  • Operation of the assigned vehicle in a safe and courteous manner.
  • Keep the assigned vehicle(s) clean inside and outside
  • Perform minor maintenance tasks on assigned vehicle(s) as required.
  • Coordinate the schedule for major or periodic vehicle maintenance with management and staff to minimize service interruptions
  • Responsible for reception area, receiving visitors and ensuring that the office has a friendly atmosphere.

Qualification, skills, and experience

  • Must have trade test grade 2 in mechanics from a recognized institution.
  • Minimum of three years’ experience in driving from the reputable organizations.
  • Should be honest, disciplined, integrity, and a self-starter with interpersonal skills necessary to work in a multidisciplinary environment.
  • Should be self-starter and result driven with excellent communication skills
