We drive changes in practice and policy at local, national and global levels using our reach, experience and knowledge.<\/p>\n<p>We have been building powerful partnerships for children for over 80 years, and are now active in more than 70 countries.<\/p>\n<p><b>ROLE PURPOSE<\/b><\/p>\n<p>To manage the corporate financial information system at Nkasi Rukwa PU and ensure compliance and internal controls are adhered to in the procurement and payment process.<\/p>\n<p>Enhance the financial capabilities of the Nkasi Rukwa PU Finance team and Partners to effectively manage budgets.<\/p>\n<p>S\/he also facilitates the capacity building of the partners finance staff on compliance and to ensure timely advance settlement &amp; payment.<\/p>\n<p><b>DIMENSIONS OF THE ROLE<\/b><\/p>\n<p>Reports to Finance Coordinator<br \/>\nWorks in collaboration with Finance Coordinator, program staff at program unit, and other implementing partners.<br \/>\nThe post will be based at Nkasi Rukwa PU<br \/>\nProvide coordination and support program implementation to the program unit manager and the community in the financial matters<br \/>\nCompliance with statutory or regulatory requirements including taxation<\/p>\n<p><b>Key End Results of Position:<\/b><\/p>\n<p><b>\u00a0Cash and budget management<\/b><\/p>\n<p>Review Payment requests and process cheques to suppliers and various partners and pack them in the SAP accounting system<br \/>\nMonitor bank balances and prepare cash projections for weekly cash transfers<\/p>\n<p>Disbursement of petty cash fund as per approved petty cash request<br \/>\nJointly responsible for safe which is the custody for cheque books, signed cheques not collected and other sensitive items<br \/>\nEnsure all financial commitments are within the budget limits.<br \/>\nEnsure timely processing and disbursement of payments to legitimate suppliers.<br \/>\nPrepare bank reconciliation and monthly financial reports<br \/>\nManage Partners and staff advances and up-to date staff advance register<br \/>\nReceive and issue receipts for refunds from staff, Partners and others<br \/>\nPrepare and File Payment and Journal vouchers and other financial documents to their appropriate files.<\/p>\n<p><b>Financial reporting<\/b><\/p>\n<p>Manage general ledger accounting system<br \/>\nPrepare monthly Financial statements incl. Bank reconciliation, staff and community advances and reconcile these statements and records with General Ledger<br \/>\nMonitor the advances register and Partner advances<br \/>\nEnsure Accountability in Preparation, review, consolidation and submission of correct and complete Program unit Financial reports on time<br \/>\nAssist in preparation and coordination of\u00a0 audit activities at the PU and ensure the availability of any audit document needed.<br \/>\nParticipate in year-end process and assist in\u00a0 preparation of\u00a0 year end reports<\/p>\n<p><b>Internal Financial Controls enhancement<\/b><\/p>\n<p>Ensure adherence to financial controls, processes and procedures.<br \/>\nFollow up finance-related audit actions<\/p>\n<p><b>Field Support Visit<\/b><\/p>\n<p>Support in training of Partners in financial and record maintenance as and when required.<br \/>\nVerification of direct benefits distribution to communities<\/p>\n<p><b>Dealing with Problems:<\/b><\/p>\n<p>Working in partnership with different organisation culture and ensure Program results are achieved timely without compromising with quality<br \/>\nWorking effectively in multiple communities and environment<\/p>\n<p>Operating in remote and with vulnerable communities<br \/>\nPromotes innovation and learning<br \/>\nCommunicates clearly and effectively<br \/>\nAppreciation of child rights and Gender<br \/>\nAny other duties assigned by your supervisor.<\/p>\n<p><b>Communications and Working Relationships:<\/b><\/p>\n<p>Medium level of relationship<\/p>\n<p>Contacts with donors during donor visits<br \/>\nNO representatives during field visits<\/p>\n<p><b>Knowledge, Skills and Behaviours Required to Achieve Role\u2019s Objectives:<\/b><\/p>\n<p>Knowledge<\/p>\n<p>In-depth knowledge of the Finance and accounting\u00a0 \u00a0preferably in Non-profit making organisation<br \/>\nA degree in Accounting or equivalent qualification<br \/>\nIntermediate professional qualification recognised by NBAA<\/p>\n<p>Skills<\/p>\n<p>Analytical and problem solving skills<br \/>\nExcellent communication skills appropriate to the audience<br \/>\nProficient Computer skills and use of relevant accounting packages<br \/>\nAbility to work under harsh condition<br \/>\nAbility to work under multidisciplinary and multicultural environment<br \/>\nGood English language skills(oral \/written )<\/p>\n<p>Behaviours<\/p>\n<p>Hardworking with capacity to work independently with minimum supervision<br \/>\nHonest, integrity, open and transparent personality.<br \/>\nTeam player<br \/>\nWorking towards achieving a team goal<br \/>\nBe able to Respect all groups of people in the community and culturally sensitive<br \/>\nPersuasive and able to work with different cultural settings<\/p>\n<p>Motivated, energetic and strives to develop and support others<br \/>\nResult oriented<br \/>\nWorking for the best interest of the organisation and children<br \/>\nAppreciate of child rights and gender<\/p>\n<p>Experience<\/p>\n<p>At least 1 year experience on Accounting<\/p>\n<p><b>ACCOUNTABILITIES<\/b><\/p>\n<p>Dealing with Problems:<\/p>\n<p>Complexity of problems handled and the degree of investigation, analysis, and creative thinking required for solving them.<\/p>\n<p>Working with the PU team and ensure Projects results are achieved timely without compromising with quality<br \/>\nPlan and schedule own work, interpreting instructions and selecting appropriate methods\/tools for delivery.<br \/>\nOperate in a high-pressure deadline-driven environment with professionalism<\/p>\n<p>Managing donor grants with strict reporting deadlinesEnsures that Plan International\u2019s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility.
